Financial Administrative Coordinator

Job Description

Under limited supervision, the Financial Administrative Coordinator will perform financial and budget management duties for the Financial Services Center (FSC). This includes utilizing Ben Financials and other university systems to facilitate purchases, reimbursements, budget reconciliation and transfer of funds. The FSC supports 240+ undergraduate student organizations, undergraduate and graduate student government, several funding boards, and two (2) University Life departments, shared among the staff of five. Communicate University and student government policies and procedures to students and departmental staff and ensure the integrity of financial transactions performed within the department. The Financial Administrative Coordinator will also report to the Business Administrator C. This position is expected to be hybrid with a minimum of three (3) days in the office.

Duties:

Under limited supervision, the Financial Administrative Coordinator will perform financial and budget management duties for the Financial Services Center (FSC).  This includes utilizing Ben Financials and other university systems to facilitate purchases, reimbursements, budget reconciliation and transfer of funds.  The FSC supports 240+ undergraduate student organizations, undergraduate and graduate student government, several funding boards, and two (2) University Life departments, shared among the staff of five.  Communicate University and student government policies and procedures to students and departmental staff and ensure the integrity of financial transactions performed within the department. The Financial Administrative Coordinator will also report to the Business Administrator C.  The duties for this position are as follows:

  • Advise students and staff on relevant University and student government procedures.
  • Oversee use of student program cards by University funded student organizations.
  • Process financial transactions (including Purchase Orders, Invoice Payments, Workday, Journal entries and personal reimbursements) via Ben, Penn Marketplace and Concur.
  • Enter data into SAC online, an internal shadow system accessed by students.
  • Prepare and deposit funds raised derived by sales by student organizations.  Prepare reports and requested.
  • Serve as a staff contact for financial transactions for undergraduate and graduate student government.
  • Exercise resource stewardship (financial and human resources where applicable) and report known or suspected irregularities to the Business Administrator of the FSC and the Director of Finance and Administration in the Provost’s Center.
  • Perform additional duties as assigned.

 

Qualifications:

HS diploma/GED in addition to 5-7 years experience required. This position requires an individual who likes working directly with students and in a fast-paced office environment.  The successful candidate with have a strong personal work ethic and appreciate the benefit of working with a team to support the many student groups and events that are administered through the Office of Student Affairs. Must be able to communicate clearly and effectively and demonstrate a keen attention to detail. Preferred Qualifications:

Bachelor’s degree in accounting, plus 1-2 years experience preferred.

Budgeted Pay Range:

Up to $56K commensurate with education and experience
